run out of time

I keep getting tasks that require you to collect things...logs, tin,rope, ect. THe problem im having is after you collect some they never reappear and you cant get them all and then time runs out. Of course soon after...there they are! I refuse to buy gems right now but that seems to be the only way to get what you need left, buy more time. How can you get everything in time????
